How to Use the Song Bank Vault: A Step-by-Step Guide

The Song Bank Vault is like a digital safety deposit box for songwriters. It gives you a secure, private place to store your songs, track your creative journey, and prove your ownership — all included unlimited with your membership.

Why Use the Song Bank Vault?

You already own the copyright to your songs the moment you create them. The challenge isn’t getting copyright — it’s proving you wrote it first. The Song Bank Vault creates a digital trail that actually holds up and makes you look professional.

Every time you save a song to the Vault, you’re creating a legal record of what you made and when.

1. Getting Started

The Song Bank Vault is available to all paying members as part of your membership benefits. You can access it in two ways:

  1. From your profile dropdown menu – Look for “Song Bank Vault” in the options
  2. From the hamburger menu (three horizontal lines) – Find the additional Song Bank Vault option there

2. Submitting a New Song

Basic Information

  • Your legal name and address – This information is stored securely but not displayed publicly on the site
  • Song title – Use whatever title or coding system works for you
  • Audio file – Upload an MP3 file (recommended). WAV files under 100MB may work, but MP3 is preferred
  • Lyrics – Paste your lyrics directly into the text field, or upload a file if preferred

Song Details

  • Creation date – When you first created the song (this relies on your honest recollection)
  • Co-writers – If applicable, include their full legal names and agreed percentage splits
  • Original work confirmation – Declare that this is your original creation

Please convert any WAV files to MP3 before uploading. We suggest using this free online tool (3rd party): https://cloudconvert.com/wav-to-mp3

Supporting Evidence (Optional)

This section helps build your song’s “origin story”:

  • Early recordings – Voice memos, demo recordings, or studio session audio
  • Written materials – Photos of handwritten lyrics, napkin notes, or early drafts
  • Creation story – Describe where, when, or why you wrote the song
  • Public performances – Note any live performances, social media posts, or other public sharing

Final Steps

  • Certificate distribution – Add email addresses of co-writers, agents, publishers, or managers who should receive a copy of the certificate
  • Submit – Click “Submit to Vault” to complete the process

What You Receive

After submission, you’ll get:

  • A downloadable certificate with your song details and legal disclaimers
  • A QR code on the certificate that others can scan to verify authenticity
  • Email notification when someone scans your QR code
  • Secure storage of your timestamped, uneditable submission

Managing Your Songs

Viewing Your Vault

  • Songs are automatically set to private
  • You can make them public for other Talent Is Timeless members to hear
  • Play your stored songs directly from your vault
  • Each song gets a unique ID for identification

Handling Revisions

  • You cannot edit submissions once they’re in the vault
  • For rewrites: Submit a new version or delete the previous one
  • Multiple versions: You can store several versions of the same song
  • Future development: Plans include grouping multiple versions under one song title

Important Notes

What This Service Provides

  • Secure, timestamped storage of your song information
  • Third-party proof that you submitted specific content at a specific time
  • Certificate and evidence available upon request
  • No cost for unlimited submissions as part of your membership

What This Service Doesn’t Provide

  • Royalty collection – You’ll still need PRS/MCPS for that
  • Copyright registration – This complements but doesn’t replace official copyright registration
  • Legal guarantees – This is evidence, not legal protection

Data Retention

  • Songs are stored while you maintain active membership
  • Data is deleted if you cancel your membership
  • Future consideration for paid permanent storage option

Tips for Best Results

  1. Submit early and often – The sooner you document your work, the better
  2. Include supporting materials – Voice memos, photos, and creation stories strengthen your case
  3. Document public sharing – Note social media posts, performances, or other public releases
  4. Keep co-writers informed – Send certificates to collaborators for their records
  5. Be thorough – Include as much detail as you can remember about the song’s creation

The Song Bank Vault provides an additional layer of protection for your creative work, offering secure storage and timestamped evidence that can be valuable in proving originality and ownership of your songs.
